What GameLedger does, and the guide that shows each part

Each line below is something GameLedger does today. Follow a guide to see the screens and the settings behind it.

Your whole shelf, ready for guests

Your library is the first thing GameLedger knows, and the rest builds on it.

  • Import a spreadsheet or a BoardGameGeek collection, or search BGG one title at a time. Box art, player counts and play times fill in, and you see which titles need a second look.

Guide: Import your games from a spreadsheet
  • GameLedger knows which copies are out at a table, so Find a Game and your Staff Picks only show games with a copy on the shelf.

Guide: Set up Find a Game
  • Guests can flag missing pieces when they finish, and you see it on your Dashboard. A game you mark out of service leaves the picker.

    Guide: Guest feedback and reviews
  • Add a game that isn't on BoardGameGeek by hand, and keep each game's copies, condition and missing pieces up to date.

    Guide: Build your game library
  • Publish your library as a searchable games page with your photo and colors, so guests can plan what to play before they come. It stays off until you turn it on.

    Guide: Your Public Games Page

Bookings that know your shelf

Guests book a table and, if they like, the game they are coming for.

  • GameLedger gives each party a table that fits them, and holds a reserved game against the copies you own. Staff get a list of the games to set aside today.

    Guide: Games to Set Aside
  • Two parties can't be booked onto the same table at the same time.

    Guide: Managing bookings
  • Offer the lengths that suit you, from 15 minutes to 8 hours, or one fixed length. Let a party that needs more room book up to 4 tables at once.

Guide: Booking lengths, buffers and large parties
  • Phone bookings and walk-ins go into the same book as online ones.

    Guide: Managing bookings
  • Each booking has its own page, where the guest can reserve a game, change the date or time, or cancel, up until it starts.

    Guide: Manage your booking
  • When every time on a day is taken for a party, guests can leave their name and email for that day. You email them when a table opens, or turn their entry into a booking.

    Guide: The waitlist
  • Every guest who books with an email address gets a row in Customers, with how often they've booked, when they last came, any no-shows, and a private note your team can keep.

    Guide: Your customer list

One scan at the table, no app

Every table gets its own QR code. Guests scan it with their phone's camera and the table's page opens in the browser, with nothing to download, no account and no login.

  • Guests tap Start Session. The table's page then offers a game pick, a search for the game they grabbed, and help from your team.

    Guide: Table QR codes
  • Find a Game asks a few quick questions and suggests up to five games for the group. Play this opens the game's page, and Play this game puts it on their table.

Guide: Set up Find a Game
  • Tapping Need a hand? lets guests ask for help choosing, a rules teach, food and drinks or the bill, plus any options you add. Your team sees exactly what was asked.

    Guide: Table Help Options
  • When they check out, guests can rate their visit and the game they played, and flag missing or damaged pieces.

    Guide: Guest feedback and reviews
  • Print a QR code for each table from Tables & Floor Plan: one card per table, with the table's name and your logo if you've added one.

    Guide: Table QR codes
  • Choose what each Find a Game answer means and which tags sit behind each vibe, and add questions of your own.

Guide: Set up Find a Game
  • Choose what guests can ask for from the Need a hand? button, add options of your own and change their order.

    Guide: Table Help Options
  • Games you mark as Staff Picks show in a row on the table's page while guests choose.

    Guide: Table QR codes
  • When your team seats a booked party, the table's page shows how long they have left, and guests can ask for 30 more minutes near the end.

    Guide: Table QR codes

The whole night on one screen

The Dashboard answers what needs you, who is next and where to seat them.

  • The Floor shows every table: free until its next booking, reserved and due, or playing. Seat a walk-in from the tile.

    Guide: The Dashboard During Service
  • Coming up lists the next two hours of parties, with the game each one reserved. A warning shows when a game in play may run into the next booking.

    Guide: The Dashboard During Service
  • When a table asks for help or 30 more minutes, staff see it at the top of every admin page.

    Guide: Table Help Alerts
  • Run tonight's parties from your phone: Arrived, Seat, Done, one tap each. Arrived and Done can be undone for five seconds.

Guide: Run Tonight From Your Phone
  • Sessions shows every table that is playing or still choosing. Hand a table a game, keep a food and drink tab to ring up at your counter (it doesn't take payment), or end the session when the party leaves.

    Guide: The Sessions page
  • Tick off each reserved game as you pull it from the shelf, and see early when a reserved copy is still in use.

    Guide: Games to Set Aside
  • Turn on a chime or a desktop notification so the counter knows when a table asks for help, while GameLedger is open in a browser.

    Guide: Table Help Alerts
  • Let guests check themselves in with the I'm here button on their booking. It's off until you turn it on.

Guide: Run Tonight From Your Phone

After the night

What guests thought, and what your bookings and tables add up to.

  • Read guests' ratings and comments on your Feedback page, tag them, and reply by email when you have the guest's address.

    Guide: Guest feedback and reviews
  • Analytics shows how many guests came and how many didn't, how busy each hour gets, how many come back, and which games get played or gather dust.

    Guide: Read your analytics

Set up the way your café runs

  • Floor plans

Draw each room at its real size, keep more than one layout for events or weekdays, and print a setup sheet.

    Guide: Build your floor plan
  • Booking types

Add a Friday game night or a private room as its own type, with its own hours, lengths and seats.

Guide: Setting Up Your Booking Types
  • Hours and closures

Weekly hours, closures and special dates.

    Guide: When guests can book
  • Seating tags

Send a campaign group to the back room or a long game to the big table. Guests never see your tags.

Guide: Send the right groups to the right tables
  • Your branding

Your logo and colors on your booking page and your games page.

Guide: Your venue page and branding
  • Your team

Staff accounts that can view or edit each part of GameLedger.

    Guide: Team and permissions
  • Booking rules

Choose how far ahead guests can book and how often bookings start, or pause online bookings for a while.

    Guide: When guests can book
  • Ask or search settings

Type what you want to change in your own words, such as "stop people booking same day", and land on the setting. Ask common why questions, such as why a big group can't book, and get the answer from your own settings.

At venues where it's switched on, pressing Enter sends your question, the Settings page you're on and your booking type names to TypeSafe, an outside service, to find the right setting. Emails and phone numbers are removed first. Anything else you type, such as a guest's name, is sent as typed. Privacy policy
